TIPS & TRICKS: MAJOR DUTIES
1. User Inputs
The quality of your initial inputs directly affects the quality of the AI-generated duty recommendations. This applies when:
- you provide an existing PD as the basis for a new PD, or
- you answer the tool’s three introductory questions to jump-start development of the duties.
Before using the tool, have a clear picture of the position you are trying to create. Consider:
- Why the position is being created
- How it will help your organization achieve its mission
- The primary purpose of the position
- The regular and recurring duties to be assigned
- The knowledge needed to perform the work
2. Duty Categories
AI-generated duty categories are suggestions based on your initial inputs. Select only the categories that accurately reflect the work that will be assigned to the position.
Review the description for each category before selecting it. The category definition helps shape the duty statement recommendations generated in the next step using your inputs, definitions, and OPM’s vetted PD library and JOAs.
Need to deselect a category? Click the category on the right-hand side, and it will move back to the suggestions column on the left-hand side.
Fine-tune when needed: You can edit or regenerate the definition for any selected duty category. The more accurately it reflects the position’s primary purpose and assigned work, the more useful the resulting duty statement recommendations will be.
3. Duty Statements
Review each suggested duty statement for accuracy. You can regenerate or manually edit individual statements so the PD accurately describes the work that will be assigned.
For classification purposes, a major duty constitutes at least 25% of the position’s time. Consolidate closely related statements into broader duty categories when appropriate, then rename the category to match the combined duty set.
Want to retain the category definition? Definitions do not automatically carry forward into the duty statements. Copy the definition, select “Add New Statement,” and paste it as a duty statement if it appropriately describes the assigned work.
Review the completed duties carefully before submitting. Assignment of duties is a management responsibility and affects recruitment, performance appraisals, and other personnel actions.
